ABOUT THE ROLE

We are currently recruiting for an experienced Project Administrator to join our team in our Wangara office.  

 Reporting to the Senior Project Administrator, the Project Administrator plays an important role in supporting the project team with end-to-end administrative functions. As a key point of contact for site personnel, this role coordinates mobilisations, manages project documentation, and helps maintain clear and effective communication between office and site teams.

Other key responsibilities include, but not limited to:

  • Manage the accurate processing and timely submission of timesheets and leave for all project personnel.
  • Act as a key point of contact for project-related enquiries, supporting clear communication between internal teams, clients, and stakeholders.
  • Coordinate mobilisation for site personnel, including arranging travel and accommodation.
  • Facilitate project inductions and maintain up-to-date records of site personnel qualifications and competencies.
  • Assist with subcontractor onboarding to ensure compliance and readiness for site mobilisation.
  • Support the Accounts Payable team and project staff by assisting with the timely review, approval, and processing of invoices.
  • Maintain well-organised and current project documentation to support efficient project delivery and compliance.
  • Raise purchase orders for the project team and assist with managing associated invoices and financial documentation.

 To be successful, you will have experience and demonstrate capability in the following:

  • Demonstrated experience in a Project Administration, Mobilisation, or Workforce Planning role within the Construction and/or Resources sector.
  • High level of integrity, discretion, and professionalism in all interactions.
  • Adaptable and flexible, with the ability to respond to evolving project demands and priorities.
  • Excellent interpersonal and communication skills, with a collaborative and solutions-focused approach.
  • Proactive and resourceful, with the ability to anticipate and respond to project needs.
  • Advanced proficiency in Microsoft Excel and other relevant project or workforce management software.
  • Must hold valid Australian working rights.
